What we check, and what the paperwork must show

We are a sourcing office, not a laboratory or a certification body. What follows is what we do ourselves and what we require from the supplier and the accredited lab.

Before the order

Verifying the supplier

Supplier verification

Done before we recommend anyone, not after you pay.

  • The tax certificate, and the name on it against the bank account
  • The approved establishment number where the item needs one
  • A site visit to the plant or farm, photographed
  • Production capacity against the quantity you need
  • Storage conditions before shipment
  • Whether the destination's requirements are already met

Specification control

The specification is fixed in the purchase order before production.

  • Grade, size and moisture stated as figures, not trade names
  • Packing format, inner liner and net weight
  • Batch number printed and traceable to the analysis
  • Label language and content for the destination
  • Shelf life remaining on arrival
  • Any change re-confirmed in writing

The documents

What travels with the shipment

The document set depends on the item and the destination: a veterinary health certificate for animal products, a phytosanitary certificate for fresh produce, the laboratory analyses the item requires, a certificate of origin, and the commercial invoice, packing list and bill of lading. Each product page lists what that item actually needs, and we review the destination's requirements before booking rather than after the container is on the quay.
